Employee Privacy Policy
Scope
This policy explains how K2 Electric handles information used in its employee manpower board and
employee SMS messaging program. It covers field and office personnel who participate in these
services. It does not replace separate notices governing payroll, benefits, medical records, or
unrelated website services.
Information We Handle
We may handle employee names and IDs, classifications, school semester information, contact
numbers, home addresses used to estimate commuting time, project assignments, work schedules,
and scheduled time off. For messaging, we also handle consent records, message content and
replies, notification schedules, delivery information, and opt-out records. Information comes from
employees, authorized company personnel, and company scheduling records.
How We Use Information
We use this information to coordinate staffing, estimate travel time, forecast field manpower,
communicate project changes, and administer employee communications. Texts may include project
names, jobsite addresses, foreman contact details, start times, safety meeting reminders, and
company event announcements. Office staff may receive company messages and appear in weekly
time-off planning without being counted as field manpower.
SMS Consent & Choices
We obtain permission before enrolling an employee in recurring work-related texts. Consent may be
given verbally to an authorized K2 representative and must be documented with the employee, date,
method, and person obtaining it. Providing a phone number or owning a smartphone alone does not
enroll an employee. Participation is voluntary. An employee who declines or withdraws SMS consent
should arrange another way to receive work instructions through the office or their supervisor.
Frequency & Charges
Message frequency varies based on project changes, scheduling needs, company announcements,
and employee replies. Message and data rates may apply under your wireless plan. K2 Electric does
not charge an enrollment fee for this program.
Mobile Information & Sharing
We do not sell or rent employee mobile numbers or SMS consent information. Mobile information
will not be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in
data and consent will not be shared for those purposes. Limited information may be provided to
messaging, hosting, and communications service providers, including Twilio, solely as necessary to
operate and support the program on our behalf. Such providers are not authorized by K2 to use this
information for their own marketing.
Access & Protection
Access to workforce information is limited to authorized personnel and service providers who need it
for company operations. We use reasonable administrative and technical safeguards to protect it. No
electronic storage or transmission method is completely secure. Employees should not include Social
Security numbers, financial account details, medical information, or other sensitive personal
information in text replies.
Retention & Required Disclosures
We retain information as needed for staffing, communications, recordkeeping, and applicable legal
obligations. Consent and opt-out records may be retained to document permission and prevent
unwanted messages. We may disclose information when required by law or valid legal process.
Requests for deletion are subject to required record retention and maintaining opt-out records.
Opting Out & Getting Help
Reply STOP to the program number to stop recurring texts. You may receive one confirmation of your
opt-out. Reply HELP for assistance, or contact the office using the contact details below. Tell the
office if your number changes or is no longer yours. You may also contact the office to request access
to or correction of your information or discuss privacy concerns.
Changes & Contact
We will post revisions with an updated effective date. Changes to this policy do not automatically
expand the scope of an employee’s SMS consent.
